Minutes of a short Trustee Meeting
held on 24th May 2018 at 8.15pm.

Present
Alan Cadman (Chairman), Liz Winter (Secretary), Maureen Shouksmith (Treasurer), Denise Hobday, Marlena Lipski, Daphne Bettle, Jutta Brawn, Sue Armstrong.

This meeting was called immediately after the AGM specifically to discuss the state of the hall floor.

Sue Armstrong and Alan Cadman explained to the meeting the problems with the wooden floor and the recommendations received from our floor specialists, Roger Hyde Ltd.
Our cleaner, Mike, has reported that the floor is hard to clean and has lost its shine and protection.

The underfloor heating, which is on even when only the Clubroom is in use, has contributed to drying out the wood. In the not too distant future, we may have to consider replacing the underfloor heating system with an alternative method, as we have had trouble with furred up pipes over the past couple of year.

Ed Hyde, our specialist, comes periodically to clean and seal the floor, usually over a weekend in August when the hall is less busy. A “sand and seal”, which removes scuff marks and dents, is done less frequently and takes a week. Ed has suggested that the next sand and seal should be in 2019 and has quoted £3,168 including VAT.

Meanwhile Ed recommends that we use a scrubber/dryer machine weekly with the proprietary cleaner and use “refresher” with a special mop two or three times a year. The scrubber/dryer costs around £1,700 + VAT and the refresher is £200 for 10 litres. A clean and seal would then be required every three years and a sand and seal far less often depending on hall usage.

Mike would be happy to use the new machine in place of the current one. It could be stored in the boiler room or green room. Mike or Cheryl could use the refresher with the mop.
Replacement of the floor would be hugely expensive. It was lifted and relaid five years ago.

After some discussion, it was proposed by Liz Winter that we follow Ed’s advice and purchase the scrubber/dryer and the refresher with mop, as the least expensive of our options.
The proposal was agreed unanimously. The Finance Sub-Committee would attend to it.
