Draft Minutes of the Annual General Meeting
held on 30th June 2022

Present
Ten people attended the AGM: Alan Cadman, Paul Armstrong, Sue Thorpe, Cliff Jones, Sallie West, Liz Winter, Martin Bottwood, Bob Schofield, Elizabeth Schofield, Sue Armstrong.
The meeting was held in the LCC Club Room.

Apologies for Absence
Maureen Shouksmith, James Puxley, Mark Kleingeld.

Alan welcomed everyone to the meeting.

Minutes of the AGM held on 27th May 2021
The minutes had been circulated and there were no objections. Martin Bottwood proposed and Liz Winter seconded that the minutes be accepted as a true record of the meeting. All in favour. The Chairman signed the minutes.

Matters Arising
There were no matters arising from the last AGM minutes.

Managing Trustees’ Report
Alan’s report had been circulated in advance of the meeting, so he did not read it out in full. He noted that Sue & Cheryl had worked hard keeping up-to-date with government rules during the pandemic. Since then, hirers have gradually been returning, including some welcome new hirers such as the Karate Club. Compliance with Insurance cover requirements is the cause of increasing management time and effort. Our insurers are bearing with us regarding Car Park insurance cover. The requirement for £5m PLI cover (due to dramatic increases in re-building costs) has been problematic for some hirers. Our insurers are continuing to provide cover for non-commercial charity hirers, but this is now becoming subject to documented Trustee approval of each specific event.

Alan thanked Paul for his 18 month stint as Interim Secretary; and the rest of the Management Team who were continuing in their roles. He thanked the Community Shop for undertaking their own internal re-painting as a cost saving measure. He noted that none of our village clubs had come forward to ask for financial support from the £8k COVID Restart Grant, allowing the funds to be deployed partly for enhanced COVID cleaning protocols and partly to bolster the LCC financial reserves.

Treasurer’s Report
Maureen’s report had been circulated in advance of the meeting. Maureen was unable to attend the meeting so Paul read it out. No specific questions were raised on it.

Election of Members
The Secretary informed the meeting that no nominations had been received for any elected position on the Management Committee. The Secretary himself was standing down. Alan Cadman and Maureen Shouksmith were willing to continue and the meeting was unanimous in re-electing them. Liz Winter had kindly volunteered to act a “Minutes Secretary”, undertaking Minute-taking duties to assist Alan and Maureen for the moment whilst a permanent Secretary is sought.

Community Council Appointed Representatives
The Secretary had written to everyone to ask for their appointed representative for 2022/23.
No proposed personnel changes had been notified to him as of the date of this meeting.

Item 8
Liz Schofield had advised the Secretary that she was prepared to be co-opted once again to the Management Committee. Sallie West proposed and Liz Winter seconded her co-option and this was supported unanimously by all attendees.

Item 9
The appointment of George Pearce to examine our 21/22 accounts was proposed by Bob Schofield and seconded by Sue Thorpe. This was also supported unanimously by all attendees.

Any Other Business
On behalf of herself and Cheryl, Sue Armstrong thanked all the Trustees for their support during last year.

This concluded business and the Chairman declared the meeting closed at
8.10 pm.
